Interlibrary Loan

Interlibrary Loan is the process by which material (printed or electronic) is made available from one Library to another.

The Interlibrary Loan Service of the University of Ioannina Library provides its users with the opportunity to obtain material that it does not have from other Libraries, thus covering the information needs and requirements of their research and education.

The head of the interlibrary loan service Fotini Karamitsou, email: fkaramit@uoi.gr, tel. 26510 05003, undertakes on behalf of the users of the Library the locate, ordering and interlibrary loan of books from the collaborating Academic Libraries in Greece or abroad, which are not included in its Collections. With a similar procedure, it also undertakes the identification, ordering and delivery of scientific articles from journals, which are not included in the collections of printed or electronic journals of the Library of the University of Ioannina.

The Library of the University of Ioannina participates in the Interlibrary Loan Network of Greek Libraries and collaborates with them through the interlibrary loan system “Iris” and supplies/procures articles of scientific journals through the Interlibrary Loan System of the National Network of Scientific and Technological Libraries (ENETB).

The service also collaborates with libraries abroad to cover the needs for books and scientific journal articles that are not found in Greek Academic and Research Libraries.

Monographs and copies of journal articles.

The monographs can be manuals, researches, Conference Proceedings, etc. Prerequisite is that the collaborating Library or service lends the material.

The Library of the University of Ioannina cooperates with specific libraries and services in Greece and abroad and the terms of borrowing and use are defined by them. According to the interlibrary loan policy applied by all the Libraries with which the LIC-PI cooperates, there is no interlibrary loan of old and rare books, issues or volumes of journals, information material (Encyclopedias, Dictionaries, Bibliographies, Guides, etc.), as well as material that is borrowed or booked.

We also note that material that exists in electronic form, is rare, is old, or its use is restricted by laws related to copyright protection, cannot be borrowed.

Everyone can have the right to use the interlibrary loan service as long as:

  1. Be registered users of the Library

and

Those interested should find that the material they are looking for does NOT exist in the Library’s Collections, in printed or electronic form. For this purpose, they can consult the automated catalogue of the Library ( Catalog) and the catalogue of electronic journals (e-Journals) on the website of the Library www.lib.uoi.gr or www.heal-link.gr

User interlibrary loan applications are submitted and processed exclusively online through the Interlibrary Loan System of the Greek Academic Libraries IRIS.

Brief instructions for completing an Interlibrary Loan Application

Make sure you have an active Library membership card

  • Connect to the Interlibrary Loan System “Iris” and login.
  • Select ” Login Registered Library Members”
  • From the option “Please select the Library you are a member of” select the Central Library of the University of Ioannina.
  • Enter your institutional details:

Username: the barcode of your Library card or Academic ID

Password:

  • After entering your details, the system asks you to choose how to enter your order. The Library suggests the option ofmanual Order.
  • From the top of the page select ” Book Application” or ” Article Application” accordingly, enter the details of the order and send it. Fields marked with an asterisk (*) are mandatory.
  • If you do not wish to enter a new order, you log out of your account by selecting “Disconnect”.

Cost of Interlibrary Loan of books

The distribution of books is done by courier service. The costs shall be borne entirely by the applicant. The cost of interlibrary loan from collaborating domestic libraries amounts to 10 euros (up to 2 kilos package weight). The cost of interlibrary loan from collaborating libraries abroad may exceed 20 euros. In this case, contact the Interlibrary Loan Service for an accurate calculation of the cost.

– Cost of Interlibrary Loan Articles

For articles through the “National Collective Catalogue of Scientific Journals” the cost starts from 2 euros and varies depending on the number of pages

The average time of receipt of the material depends on the type of item (article or book) as well as on where the material will be located.

BOOKS

The estimated acquisition time for domestic books is 10 days and for books from libraries abroad: 20-30 days.

The staff of the interlibrary loan service notifies the reader by phone or e-mail of the receipt of the book.

Receipt of the book and payment of the cost is mandatory and must be made within three days of notification.

The books are loaned to the applicant for a limited period of time, determined by the Library-supplier (usually one or two weeks). The books must be returned in due time to the Interlibrary Loan Service for return to the Library that lent them.

MAGAZINE ARTICLES

The estimated acquisition time for domestic articles is 1-7 days and for foreign articles: 3-25 days.

For any delays in sending the material from the available Library, the reader is informed for cancellation or reconfirmation of the request.

The delivery of the articles is made after telephone or other information to the reader by the employees of the Interlibrary Loan Service of B.K.P.-P.I.

The interested party is obliged to receive the articles within 3 days of notification.

Pick-up takes place during the days and hours of operation of the service. Photocopies of magazine articles are non-refundable.

The supplying libraries determine the terms of borrowing and use of the material. In any case, users must return the material on time and in the condition in which they received it. They must also use the material for personal study and research, as required by copyright laws.

The Library of the University of Ioannina operates as a supplier of books and journal articles under the following terms:

B.K.P.-P.I. satisfies requests for interlibrary loan of books submitted by other Libraries in Greece and abroad with which it has signed an Interlibrary Loan cooperation agreement. Lending is made to organized libraries and not natural persons.

– Do not borrow old, rare or worn books, issues or volumes of journals, information material, material borrowed or booked by readers of the V.K.P.-P.I. as well as material that is in librarianship processing.

– The duration of the loan is 20 days from the date the request was sent by the University Library.

– The borrowing Library must return the borrowed material on time, supervise its proper use and inform the Interlibrary Loan Service of the LIC-PI of the date of its return to it.

– The material is sent by courier service with which the requesting Library cooperates and the costs of sending and receiving the items are borne entirely by the Library-recipient.

B.K.P.-P.I. satisfies requests for articles submitted to it by other libraries in Greece. Requests are satisfied only in Libraries that have their subscriptions to the Union Catalogue of Science and Technology Journals of the Greek Science and Technology Libraries maintained by the National Documentation Centre (EKT) and comply with the prescribed procedures of the cooperative system for the distribution of articles “HERMES”. Requests submitted by natural persons or Libraries that do not participate in the above Library Network are not accepted.

– Requests must relate to articles from scientific journals that demonstrate:

  1. do not exist in the collections of the Library sending the request and
  2. are included in the collections of the B.K.P.-P.I.

– Articles are generally sent in electronic form using e-mail, when their length is less than 20 pages. In case the article exceeds 20 pages or there are multiple requests from the same Library, it is sent by mail.
